What we collect

• Your name, job title and company name
• Contact details: email address, phone number, and billing and delivery addresses
• Order details: what you bought, prices, delivery arrangements and your order history
• Payment details: we do not see or store your full card details. Card and PayPal payments are handled by our payment providers.
• Messages you send us by email, phone, our contact form or live chat
• Your account login details, if you create an account
• Information about how you use our website, such as pages visited and the device and browser used (see "Cookies" below)

How we use your information and our legal basis

• To process and deliver your order, take payment, arrange delivery or collection, and handle returns and aftercare. Legal basis: to perform our contract with you.
• To answer your questions and quotes by phone, email or live chat. Legal basis: our legitimate interest in responding to enquiries, or taking steps at your request before a contract.
• To keep accounting and tax records. Legal basis: legal obligation.
• To send you news and offers about our products. Business customers: our legitimate interest in telling existing and potential business customers about similar products. Individuals: with your consent. You can unsubscribe at any time using the link in our emails or by contacting us.
• To protect our website and customers from fraud, spam and misuse. Legal basis: legitimate interest.
• To understand how our website is used and to measure our advertising (Google Analytics and Google Ads). Legal basis: your consent, given through our cookie banner.

Who we share your information with

We only share your information where needed for the purposes above:

• Payment providers (Braintree and PayPal) to take your payment securely
• Couriers and delivery partners to deliver your order
• Our finance partner, Portman Business Finance, if you apply for finance
• Our website hosting and IT providers, who store data for us
• Intercom, which provides our live chat
• Google, for website analytics and advertising measurement, if you accept these cookies (see below)
• Our accountants and professional advisers, and authorities such as HMRC where the law requires it

We do not sell, rent or lease your personal information to anyone.

Google Analytics and Google Ads

If you choose "Accept All" in our cookie banner, we use Google Analytics to understand how our website is used, and Google Ads to measure how well our adverts work and to show you relevant adverts.

When you place an order and have accepted these cookies, we share details from your order with Google so that Google can tell us which of our adverts led to the sale (Google Ads enhanced conversions). Your email address, phone number, name and street address are converted on our website into a one-way code (hashed) before they are sent, so they are not sent in readable form. Your town, postcode and country are sent as they are. Google uses this information to match your order to an advert you interacted with and to report this to us.

International transfers

Some of our providers, such as Google, Intercom and PayPal, may process information outside the UK, including in the United States. Where this happens, the transfer is protected by UK adequacy regulations (such as the UK Extension to the EU-US Data Privacy Framework) or by standard data protection contract clauses approved for use in the UK.

How long we keep your information

• Orders, invoices and accounting records: 6 years from the end of the financial year they relate to, as required for tax purposes
• Customer accounts: while your account is open. You can ask us to close it at any time.
• Enquiries, quotes and chat messages that do not lead to an order: up to 2 years after our last contact with you
• Marketing: until you unsubscribe or ask us to stop
• Website analytics: for the period set in Google Analytics

Security

We are committed to keeping your information secure. To prevent unauthorised access or disclosure, we use suitable physical, electronic and managerial procedures to protect the information we collect online, and our website uses a secure (HTTPS) connection.

Your rights

You have the right to:

• ask for a copy of the personal information we hold about you. This is free of charge, and we will reply within one month.
• ask us to correct information that is wrong or incomplete
• ask us to delete your information, where we no longer need to keep it
• ask us to limit how we use your information, or object to us using it, including for direct marketing
• ask for your information in a format you can take to another provider
• withdraw your consent at any time, where we rely on consent

Analytics and advertising cookies are only used if you choose "Accept All" in our cookie banner.
